Job Details
We are seeking a proactive and detail-oriented Fleet Officer to join our team. In this pivotal role, you will oversee the management and maintenance of the Council's fleet operations, ensuring efficiency, compliance, and high service standards. You will play a key part in data management, procurement, and fostering strong relationships with contractors and internal departments.
As a Fleet Officer, you will:
- Maintain and update databases, providing managers with detailed reports.
- Oversee the Fleet database, ensuring accurate records of vehicle performance, servicing, and usage.
- Verify and process fleet invoices, addressing discrepancies and ensuring timely payments.
- Support procurement, including preparing tender documents, managing e-tendering portals, and drafting award documentation.
- Coordinate the delivery of vehicles, systems, and services, resolving queries and managing warranty issues.
- Summarise fleet data to identify and report compliance issues to departmental managers.
- Keep the Council’s Vehicle and Plant Registers updated with all additions and deletions.
- Document and update fleet operating procedures.
- Conduct periodic inspections and audits to ensure compliance with the Fleet Operators Recognition Scheme (FORS) and other standards.
- Assist in preparing evidence for FORS or other audit requirements.
- Provide advice and guidance on fleet services, including arranging site and vehicle inspections.
- Manage fleet systems, SharePoint sites, and email communications.
- Oversee the fleet complaints, penalty charge notices (PCNs), and infractions log.
- Organise and participate in meetings, including setting agendas and taking minutes.
- Perform other duties aligned with the role’s nature and responsibilities.
What We’re Looking For:
- Strong organisational and analytical skills.
- Have an excellent working knowledge of MS Office programs, especially MS Excel and Power BI.
- Experience in fleet management, data handling, or procurement.
- Knowledge of compliance standards such as FORS.
- Excellent communication skills to liaise with contractors, colleagues, and suppliers.
- A flexible and proactive approach to work, including the ability to adapt to varied tasks and working hours.
You will work a 35-hour week, but a degree of flexibility is essential.
